Finance Manager – 1 Position Open

Salary:  $75,000-$90,00/year

Responsibilities: As Finance Manager, you can expect to:

  • Be the lead finance resource on a multi-functional team
  • Manage PARO’s financial accounting, monitoring, and reporting systems, including maintaining an accurate filing and record-keeping system
  • Have a clear leadership role in strategic business planning, forecasting, budget creation (including project budgets) and management, and initiative analysis
  • Ensure compliance with accounting policies and regulatory requirements
  • Monitor the day-to-day financial operations within PARO (payroll, invoicing, and other transactions)
  • Assist management to make financial decisions
  • Review and suggest updates or changes to financial procedures, policies, and systems to facilitate expansion, efficacy, compliance and scaling of the organization
  • Oversee activities such as:
    • Keeping a schedule for timing and preparation of all project financial claims
    • Ensuring monthly project spreadsheets are updated, match bookkeeping entries, and are approved by the CEO
    • Completing budgets and/or cash flows as needed
    • Planning for and preparing all documents needed for each project financial claim
    • Planning for and preparing all documents for annual audit
    • Setting up and maintaining Accounts Receivable and Accounts Payable
    • Ensuring that incoming invoices are reviewed and paid in a timely manner
    • Ensuring monthly deposits are completed
    • Issuing invoices to contractors, partners, etc.
    • Completing project budgets for proposals; ensuring project is set up in spreadsheet once approved to monitor project spending, and calculating variance from project budgets, reporting significant issues to the CEO
    • Applying for advances and creating projected project cash flows for each project
    • Monitoring revenues and expenses to date for each project to ensure funds flow as is required as per budget and projected cash flows, and funder criteria.
    • Ensuring that there is a monthly bank reconciliation
    • Developing an annual budget with the CEO for presentation to the Board of Directors
  • And any activities as required by the CEO

Qualifications: What would make you a good fit?

  • You have a Bachelor’s or Master’s degree in Finance or Accounting, or equivalent.
  • CPA designation or enrollment in a professional accounting program is an asset
  • You have 5-8 years of experience in accounting and financial analysis. A priority advantage, if in the Not-For-Profit sector and familiar with government contribution agreements and CRA guidelines.
  • You are able to synthesize large quantities of complex data into actionable information
  • You have strong verbal and written communication and interpersonal skills; and are able to effectively interact with individuals at different levels of the organization, including the CEO and other senior-level management
  • You have excellent business judgment, analytical, decision-making, and problem-solving skills
  • You have strong knowledge of financial reporting and experience using Sage/Simply Accounting software or equivalent
  • You have advanced Excel, Word, PowerPoint, and financial modelling skills
  • You enjoy analyzing data and thinking critically to uncover insights that will help influence business decisions
  • You have effective time management and organizational skills with the ability to work well under pressure and manage tight deadlines with a high attention to detail
  • You must be fluent in English. French language proficiency is an asset

Responsabilités : le directeur financier peut s’attendre à :

  • Être la ressource financière principale d’une équipe multifonctionnelle
  • Assurer la gestion des systèmes financiers de comptabilité, de suivi et de rapports de PARO, y compris le maintien d’un système précis d’enregistrement et de classement des registres
  • Assurer clairement un rôle de leader dans la planification stratégique d’entreprise, la prévision et la création de budgets (y compris les budgets de projets), la gestion et l’analyse des initiatives
  • Assurer la conformité des politiques comptables et exigences réglementaires
  • Assurer le suivi des opérations quotidiennes de PARO (paie, facturation, et autres transactions)
  • Appuyer la direction à prendre des décisions financières
  • Réviser et suggérer des mises à jour ou des changements aux procédures financières, aux politiques et systèmes afin de faciliter la croissance, l’efficacité, la conformité et le redimensionnement de l’organisation
  • Superviser les activités telles que :
    • Maintenir un agenda pour la programmation et la préparation de toutes les demandes de financement liées aux projets 
    • S’assurer que les tableaux mensuels de projets soient mis à jour, correspondent aux entrées comptables et soient approuvés par la direction générale
    • Compléter les budgets et/ou les flux de trésorerie au besoin
    • Planifier et préparer tous les documents nécessaires pour chaque demande de financement de projet
    • Planifier et préparer tous les documents pour la vérification annuelle
    • Créer et maintenir les comptes clients et les comptes fournisseurs
    • S’assurer que les factures sont révisées et payées dans des délais raisonnables
    • S’assurer que les dépôts mensuels sont complétés
    • Déclencher la facturation aux contractuels, partenaires, etc.
    • Compléter les budgets de projets pour les propositions; s’assurer que le projet est disponible sous forme de tableur, une fois qu’il est approuvé, afin de surveiller les dépenses du projet, et calculer les variances des budgets de projets, et rapporter tout problème important à la direction générale
    • Demander des avances et créer des projections de flux de trésorerie pour chaque projet 
    • Surveiller que les revenus et dépenses sont à date pour chaque projet, pour garantir que les fonds soient versés comme il se doit, conformément au budget et aux flux de trésorerie prévus, ainsi qu’aux critères des bailleurs de fonds
    • S’assurer qu’il y ait une réconciliation bancaire mensuelle
    • Développer un budget annuel avec la direction générale qui sera présenté au conseil d’administration.
  • Mettre en place toute activité requise par la direction générale

Qualifications : En quoi êtes-vous parfait pour ce poste ?

  • Vous avez un Baccalauréat ou une Maîtrise en finances ou en comptabilité, ou l’équivalent. 
  • Désignation CPA ou inscription dans un programme comptable professionnel est un atout
  • Vous avez une expérience de 5 à 8 ans d’analyse comptable et financière. Un avantage prioritaire serait que cette expérience soit issue d’un secteur “à but non lucratif” et que vous soyez familier avec les accords de contribution des gouvernements et les lignes directrices de l’ARC.
  • Vous êtes capable de synthétiser un large volume de données complexes et de les transformer en information exploitable

Circle Coordinator – 1 Position Open

PARO Centre for Women’s Enterprise, Ontario, will implement a Women’s Enterprise Centre Southern and Eastern (WECSE); a strategy to help diverse women-owned or majority of women-led companies to further advance their productivity, capacity, and competitiveness, while seeding scale up and market expansion.  PARO will encourage all entrepreneurial women in southern/eastern Ontario to participate with a special focus, but not limited to, outreach supporting women in rural areas.

The Circle Coordinator – reporting to Head Office and the Lead Regional Coordinator, the Circle Coordinator works with BIZGrowth Coordinator, other Business Counsellors and Advisors (BGAs), Management, and community partners to deliver business development training and services for women to increase productivity, innovation, and profitability and to Access Export Markets.  Integral to this role with be working with PARO team members to leverage other funding for clients, including PARO Circle Loans and WEOC Women’s Loan Funds.

As a member of the Business Counsellor team, the Circle Coordinator will provide services that include, but are not limited to the following:

  • Work with the BIZGrowth Coordinator to encourage, facilitate and ensure that all women who meet the criteria have the support they need to complete their Intake application to PAROProsper BIZCAMP, their business plan and WEOC Women’s Loan Fund application, and to support Business Counsellors and BGAs in completing the Loan Assessment for each client including the Recommendation to WEOC.
  • Work with the Business Counsellors and BGAS to ensure they understand how to leverage the PARO Circle Loans with NRP with the WEOC Women’s Loan Fund Loans and to support in any way including explaining to applicants and new members of the PARO team how this works
  • Deliver business development training and enhanced business development training and services for women
  • Training and support for development of Peer Lending Circles and Prosper Circles
  • Facilitate peer support and microfinance development
  • Provide ongoing guidance and advisory assistance to women who are in existing Peer or Prosper Circles, or want to create new PARO Peer or Prosper Circles; and members who want to apply for a PARO or WEOC loan/grant; and coordinate/process Peer Circle member applications, PARO Peer loan/grant applications.
  • Develop/maintain a refined communication system for distribution of information to and between PARO and Peer and Prosper Circles.
  • Update Peer and Prosper Circle database/tracking documents
  • Facilitate discussions and nurture relationships with CFDC partners in target areas to develop/maintain loan agreements so PARO Peer Circle members may access loans from $500 to $5000 using a 4 stage lending process
  • Review key documents, including tools for Peer and Prosper Circle development (including Circles & Loans booklet, Circle Bylaw development and sample of by-laws, Loan Approval Process and Loan Fund Policies, Resources for networking and marketing) and where necessary, ensure they are modified and translated.

With Post Secondary Education in Business Administration, Accounting and/or Education, or a related field, you have proven experience with business planning and operations, group training and facilitation, coaching/counseling, mentoring and related business experience. Knowledge or women’s issues, microfinance and community economic development, and experience as an entrepreneur, or as a senior staff member of a business, are definite assets. The BIZGrowth Coordinator will provide services that include, but are not limited to the following:

    • Communicate with BIZGrowth applicants, and/or PARO Business Counsellors, BGAs, and/or vendors on as needed basis, including request for required documentation where needed
    • Provide CEO with final recommendation for approval of BIZGrowth application
    • Inform BIZGrowth applicants of final decision/status of application and next steps, including follow up with vendors and project completion
  • Enter client/applicant contact and interaction information into PARO CRM; and manage and maintain database/tracking records as needed for reporting to funder

The Project Coordinator – Northern, will be responsible for the program coordinator of the PAROBiz, a women’s business development and microloan program. The Project Coordinators are responsible for the delivery of Business Training, Financial and Counselling services, reporting and other duties as part of the project plan including any administrative duties as required by the Chief Executive Officer.

Business Growth Advisor

Location:  Anywhere in Ontario

SALARY

Contract position for 3.5 days (equivalent to 28 hours) per month. $250/day (the equivalent of an 8-hour day) and $125 for a one-half-day equivalent for planning, reporting, and follow-up ($875/month). For planned and approved travel, mileage, accommodation, and meals will also be covered using PARO set rates.   Time at PARO meetings can be charged at an equivalent hourly rate over and above 3.5 days.

JOB DESCRIPTION

As a contracted business providing services to PARO, you will provide services as a Business Growth Advisor to women living in Northern, Eastern and Southern Ontario.   Your business, representing PARO, will assist other women to start, sustain, and scale up their businesses using various technologies such as telephone, email, Zoom, CRMs, Learning Management Systems, BaseCamp, and other communication software and supports, travel, and in-person meetings when required (as permitted per Covid 19). Your business services to women will include providing holistic entrepreneurial counselling and webinars; development and support for PARO Circles; development, delivery, and support to BIZCamps and small networking events; connecting women to affordable business financing options within PARO and those researched from outside PARO; and reporting statistics, connecting on BASECAMP, and invoicing monthly to receive payment from PARO.  You will build positive relationships and communicate with strategic partners and other agencies to support getting new referrals and providing services to women entrepreneurs to ensure the success and sustainability of their businesses.

QUALIFICATIONS AND SKILLS

You have experience operating a successful business and managing the efficient use of time.  You have facilitation/coordination skills, financial acumen, business development, and reporting skills. You are a team player, but can work independently; self-motivated, and flexible, Post-Secondary Education in Business Administration, Accounting and/or Education, or a related field.  You have proven experience with business planning and operations, group training and facilitation, coaching/counselling, mentoring, and related business experience.  Experience reaching out to clients and building good customer relations; knowledge of women’s issues, and innovative approaches to business development, microfinance, and community economic development are definite assets.  You are a team player, positive and self-motivated, and fluent in English, but the ability to speak and write in French, Ojibwe or Oji-Cree would be an asset.

Communications and Ecosystem Developer – reporting to Head Office, the Communications and Ecosystem Developer works closely with the CEO and other members of the Management team to design and execute engagement strategies, and on marketing, communications, and social media; and with the CEO, other members of the Management team, and the Lead Regional Coordinator on the ongoing development of a diverse entrepreneurial ecosystem of support.  Ecosystem development includes nurturing relationships with existing project partners and allies, and growing the ecosystem through the development of new partnerships.

The Communications and Ecosystem Developer will provide services that include, but are not limited to the following:

Communications:

  • Develop and implement a communication strategy that includes media outreach and social media content creation.
  • Create and distribute engaging multimedia content (including for various social media channels) such as graphics, videos, and other promotional materials.
  • Coordinate communications for PARO events and campaigns to diverse and targeted audiences using digital and traditional marketing methods.
  • Create, format, and distribute regular email newsletters as well as updates and manages email lists.
  • Work in partnership with our IT support to ensure PARO’s website is updated and functions properly.
  • Manage PARO’s communications assets, including photo library, success stories, logo library, infographics, design files, print, and digital collateral.
  • Track and record social media, website, and other metrics, such as video viewings.
  • Provide communication assets to other team members as needed.

 

Ecosystem Development:

  • With guidance from the CEO and/or other members of the Management team as designated by the CEO, collaborate with the Lead Regional Coordinator to:
    • Develop and maintain relationships with new and existing partners, allies and stakeholders (including women entrepreneurs), which align with PARO’s overall goals and support project activities and outcomes achievement
    • Identify gaps or areas of need in the ecosystem for entrepreneurs; research and identify key stakeholders and potential partners to help address the need or gap; and conduct outreach efforts with identified stakeholders/potential partners to engage them as a member of ecosystem and ally in the project

 

    • Support the development of a robust and diverse resource network for entrepreneurs and to support PARO programming


Qualifications and Skills

With Post-Secondary Education in Marketing, Communications, Journalism, or a related field, you have proven experience in a communications role, with outreach and partnership management, have excellent writing and speaking skills, you are a strategic thinker, and possess an aptitude for networking. Knowledge of women’s issues, and community economic development, and experience as an entrepreneur, or as a senior staff member of a business, are definite assets. You are a team player, positive and self-motivated.


POSITION
 REQUIRES:

Quarterly travel to assigned communities in Ontario; a valid driver’s license, personal vehicle and vehicle insurance; excellent interpersonal, organizational, and project management skills; written and oral communication skills; excellent analytical skills; and an ability to accommodate competing demands and meet deadlines. Must be fluent in English. French or other languages would be a definite asset. Must be legally entitled to work in Canada.
