Data and Evaluation Coordinator – 1 Position Open

Salary: $54,000.00 per year

Reports to: Lead Prosper Coordinator; PARO Management including CEO

Job purpose: This position is responsible for capturing and analyzing all data related for PARO projects, and projects where PARO interacts within an ecosystem of partners, with priority on direct data and evaluation for the Prosper Circles project. This includes statistical demographics of the women, intersectional identity information capture, and other statistics related to client relationship management. This position is also responsible for issuing and to support the analyzing all evaluations, including the quarterly project evaluations distributed to participants, and suggesting amendments or changes to the program based on reported client experience. This position is also requires gathering accurate data for, and completing reports or other written correspondence related PARO and where PARO is involved in ecosystem activities for Prosper Circles project.

Duties and Responsibilities

  • Play a critical role in overseeing research, data collection and maintenance, data analysis, project reporting and evaluation of all PARO projects, including but not limited to, the Prosper Circles project.
  • Review current, organization wide, communication and data collection systems, platforms and tools, including but not limited to Basecamp, Airtable CRM, my PAROPath Client Portal, and PARO B2B Database; and with oversight and collaboration with Management, and Lead Prosper Coordinator, identify and implement improvements, updates, and new processes and procedures, as needed to support organization growth and where resources allow.
  • Ongoing review and update of metrics/KPIs/targets and data collection tools/systems related to all related PARO projects, with Management
  • Support PARO in identifying processes and access to PARO CRM, Basecamp, or other technologies to ensure security and ownership of PARO resources.
  • Review current technology related (use of Airtable, Basecamp, myPAROPath, etc.) Onboarding resources for team members, and with oversight and collaboration with Management identify and implement (where resources allow) improvements, updates, and new processes and procedures
  • Research and make recommendations as per any changes or implementation of other software, technologies or processes to improve internal systems
  • Perform data analysis and evaluation on the current collection and management of client data and evaluation
  • Oversee update of data design and collection tools, including surveys as needed
  • Work on special projects as needed, including evaluation of projects
  • Run reports in database software
  • Oversee data management, including cleaning
  • Oversee data analysis and drafting of reports and/or presentations using PARO’s website, CRM (Airtable), client portal, and project management software such as Base Camp
  • Support the PARO team and management by collecting, entering and/or changing data through PARO’s database, website, communication, and project reporting tools and templates
  • Provide project reports to management as needed

What You’ll Need to Succeed

  • Post Secondary Education in Database or Technology Management and/or Development, or a related field;
  • A strong foundation in administration, including project planning and monitoring for outcomes, delivering programs and services
  • Experience with management of databases and CRMs, and creating reports
  • Experience tracking and analyzing data
  • Experience in research and/or evaluation that includes data collection and data analysis
  • Ability to properly and accurately maintain electronic filing systems including important client confidentiality
  • Strong computer skills and proficiency with technology including Microsoft Office products, CRM, and databases
  • Detail oriented and organized
  • The ability to adapt and be flexible based on project needs

Objectif de l’emploi

La personne titulaire du poste est aussi responsable d’émettre et d’appuyer l’analyse de toutes les évaluations, y compris celles de projets trimestriels distribuées aux participantes, et de suggérer des modifications ou changements aux programmes, basés sur les expériences soumises par la clientèle. Ce poste exige aussi la collecte de données exactes pour le projet Cercles Prospères, ainsi que la rédaction de rapports – ou toute autre correspondance relative à PARO – pour laquelle PARO est impliqué dans les activités de l’écosystème du projet.

Tâches et responsabilités

  • Jouer un rôle critique de surveillance sur la recherche, la collecte, le maintien et l’analyse des données, les rapports et l’évaluation de tous les projets de PARO, y compris, sans s’y limiter, le projet Cercles Prospères.
  • Examiner les systèmes de communication et de collecte de données utilisés à travers l’organisation, les plateformes et les outils, y compris, sans s’y limiter, Basecamp, Airtable CRM, le portail pour la clientèle myPAROPath, et les bases de données B2B ; et, sous la surveillance et la collaboration de la Direction et de la Coordonnatrice en chef du projet Cercles Prospères, identifier et mettre en œuvre des améliorations, des mises à jour et de nouveaux procédés et procédures selon les besoins nécessaires pour appuyer la croissance de l’organisation et lorsque les ressources le permettent.
  • Avec la Direction, examiner et mettre à jour de façon continue les indicateurs de performance KPI, les objectifs et les outils/systèmes de collecte de données pour tous les projets connexes.
  • Assister PARO avec les processus d’identification et d’accès à PARO CRM, Basecamp, ou autres technologies, afin d’assurer la propriété et la sécurité de ses ressources.
  • Examiner la technologie utilisée couramment (utilisation de Airtable, Basecamp, myPAROPath, etc.), le processus d’accueil pour les membres de l’équipe, et sous la surveillance et la collaboration de la Direction, identifier et mettre en œuvre (lorsque les ressources le permettent) des améliorations, des mises à jour et de nouveaux procédés et procédures.
  • Faire des recherches et formuler des recommandations au sujet de tout changement ou de la mise en œuvre de nouveaux logiciels, technologies ou procédés pour améliorer les systèmes à l’interne.
  • Exécuter l’analyse et l’évaluation de la collecte actuelle et la gestion des données des clientes et leur évaluation.
  • Superviser la mise à jour des outils de conception et de collecte des données, y compris les sondages, au besoin.
  • Travailler sur des projets spéciaux au besoin, y compris l’évaluation des projets.
  • Générer les rapports dans les logiciels de données.
  • Superviser le système de gestion des données, y compris le nettoyage.
  • Superviser l’analyse des données et l’élaboration de rapports et/ou de présentations utilisant le site Internet de PARO, CRM (Airtable), le portail pour la clientèle et les logiciels de gestion de projets, tels que Basecamp.
  • Appuyer l’équipe de PARO et la Direction en recueillant, en saisissant et/ou en effectuant les changements des données à travers la base de données de PARO, le site Internet, les communications et les outils et modèles de rapports de projets.
  • Fournir les rapports de projets à la Direction lorsque requis.

Ce dont vous avez besoin pour réussir

  • Des études postsecondaires en gestion de Bases de données, Technologie et/ou Développement, ou dans un domaine connexe ;
  • Une base solide en administration, dans la planification de projets, le suivi de résultats et la livraison de programmes et services ;
  • Une expérience en gestion de bases de données et CRMs et dans la création de rapports ;
  • Une expérience en repérage et dans l’analyse de données ;
  • Une expérience en recherche et/ou évaluation incluant la collecte et l’analyse de données ;
  • La capacité à maintenir efficacement et précisément un système de classement électronique pour assurer la confidentialité de la clientèle ;
  • Des compétences solides en informatique et dans la maîtrise de la technologie y compris les produits Microsoft Office, CRM et bases de données ;
  • Avoir une bonne organisation et une attention portée aux détails ;
  • Capable de s’adapter et être flexible selon les besoins des projets ;

Overview:
 reporting to Head Office, as a member of the Business Counsellor team, the Circle Coordinator/Counsellor works with other Business Counsellors, Management, and community partners to deliver business development training and services for women entrepreneurs, including one-on-one business counseling, business plan development, and connecting with wraparound services as needed, especially for those most vulnerable  As a priority activity, the Circle Coordinator/Counsellor will provide training and support for development of Peer Lending Prosper Circles; provide ongoing guidance and advisory assistance to women who are in existing Circles; support Circle members to complete Loan applications, and ensure Circles know how to coordinate/process/approve Peer Circle member applications and loan/grant applications as per the Circle Loan Approval Process.  


Qualifications and Skills: 
With Post Secondary Education in Business Administration, Accounting and/or Education, or a related field, you have proven experience with business planning and operations, group training and facilitation, coaching/counseling, mentoring and related business experience. Knowledge of women’s issues, microfinance and community economic development, and experience as an entrepreneur, or as a senior staff member of a business are definite assets. You are a team player, positive and self-motivated.  Written and verbal fluency in French is a significant asset

Business Growth Advisor

Location:  Anywhere in Ontario

SALARY

Contract position for 3.5 days (equivalent to 28 hours) per month. $300/day (the equivalent of an 8-hour day) and $150 for a one-half-day equivalent for planning, reporting, and follow-up ($1050/month). For planned and approved travel, mileage, accommodation, and meals will also be covered using PARO set rates.   Time at PARO meetings can be charged at an equivalent hourly rate over and above 3.5 days.

JOB DESCRIPTION

As a contracted business providing services to PARO, you will provide services as a Business Growth Advisor to women living in Northern, Eastern and Southern Ontario.   Your business, representing PARO, will assist other women to start, sustain, and scale up their businesses using various technologies such as telephone, email, Zoom, CRMs, Learning Management Systems, BaseCamp, and other communication software and supports, travel, and in-person meetings when required (as permitted per Covid 19). Your business services to women will include providing holistic entrepreneurial counselling and webinars; development and support for PARO Circles; development, delivery, and support to BIZCamps and small networking events; connecting women to affordable business financing options within PARO and those researched from outside PARO; and reporting statistics, connecting on BASECAMP, and invoicing monthly to receive payment from PARO.  You will build positive relationships and communicate with strategic partners and other agencies to support getting new referrals and providing services to women entrepreneurs to ensure the success and sustainability of their businesses.

QUALIFICATIONS AND SKILLS

You have experience operating a successful business and managing the efficient use of time.  You have facilitation/coordination skills, financial acumen, business development, and reporting skills. You are a team player, but can work independently; self-motivated, and flexible, Post-Secondary Education in Business Administration, Accounting and/or Education, or a related field.  You have proven experience with business planning and operations, group training and facilitation, coaching/counselling, mentoring, and related business experience.  Experience reaching out to clients and building good customer relations; knowledge of women’s issues, and innovative approaches to business development, microfinance, and community economic development are definite assets.  You are a team player, positive and self-motivated, and fluent in English, but the ability to speak and write in French, Ojibwe or Oji-Cree would be an asset.
